For decades, the CTRC has offered cryopreservation services to investigators. We are now modernizing our storage capabilities by adopting a more dynamic and standardized biobanking model. Your samples can be stored for both short-term and long-term purposes. We manage all aspects of cryostorage, including maintenance, repair, and equipment replacement, and have made significant improvements to our infrastructure, data management, and operational guidelines.

We welcome any biorepository inquiries and are available to help you determine the appropriate cryostorage space for your needs.

Data Management

The CTRC uses OpenSpecimen, a web-based LIMS platform for tracking the collection, processing, storage, and distribution of biospecimens:

Storage Fees (Approved for FY25)

  • 1 cryobox stored in the -80 Freezer (per month): $0.52
  • 1 cryobox stored in Liquid Nitrogen (per month): $2.60

How to Submit Samples for Storage at the CTRC Biorepository

Step 1: Initial Contact & Complete CTRC Website Survey

Step 2: Request Services & Receive a CTRC Quote

  • If you already have a CTSI protocol number and wish to submit samples under this protocol, simply complete the Sample Submission Form.
  • For new projects, register on ProTrackS by selecting the "Request Services" button on the Biorepository homepage.
    • Complete the ProTrackS survey, including the work authorization section. Once a chartfield is provided, you'll receive a CTSI Project ID to proceed with sample submission.
    • If you already have a CTSI Project ID, ensure the CTRC services section is completed and a chartfield is provided in the work authorization form.

Step 3: Complete the Sample Submission Form

  • Access the Sample Submission Form here.
  • Ensure each sample is placed in a box with a specific "row" and "column" noted. Samples that are unsorted may incur additional labor fees.
  • Submissions without a completed form will not be processed.

Step 4: Submit the Form

  • Email the completed Sample Submission Form to CTRC@utah.edu. Include the PI's name and CTSI protocol number.

Step 5: Sample Coordination

  • Expect an email response within 3 business days to coordinate transport with CTRC Biorepository staff.

Step 6: Familiarize Yourself with OpenSpecimen

  • On-campus customers should review basic OpenSpecimen training.
  • Off-campus customers: biorepository staff will generate reports using OpenSpecimen to track storage locations.

How to Collect Your Samples from the CTRC Biorepository

Retrieve a Subset of Samples

  • Email CTRC@utah.edu with the PI name, CTSI protocol number, and the specific sample IDs.

Remove the Entire Collection

  • Email CTRC@utah.edu with the PI name, CTSI protocol number, and the expected number of boxes for removal.

Important Policies and Procedures

  1. All internal and external customers must adhere to institutional policies for research involving human participants.
  2. The CTRC does not manage consent forms or other patient-related documents. PIs are responsible for tracking this information.
  3. For IRB-related queries, contact the University of Utah IRB.
  4. For lab safety concerns, contact University of Utah Environmental Health and Safety.
